JOB DESCRIPTION - PRESIDENT

Generally his responsibilities can be divided into four areas: The District NYI Council (Including the yearly ongoing NYI program), the District NYI Convention, Relationships with other District leaders, and Regional and General Church responsibilities.

District NYI Council:

The district NYI president presides at all District NYI Council business meetings. He should have a typed agenda prepared for each member, having communicated with the various leaders on the council about items that need to be discussed and referring to the minutes of the last meeting for unfinished or in process business.

The district NYI president is responsible for defining the goals and articulating the vision of the district NYI and the duties of each council member in relation to those goals and the vision. He must seek to motivate and inspire, yet also be the prompter who keeps NYI "on track".

The district NYI president prepares a budget for the year for NYI, in consultation with designated council and district committees. He is the manager of that budget, and is responsible for maintaining expenses of NYI within its limits. He will keep the council appraised of the financial picture, in cooperation with the district NYI treasurer. The budget for the upcoming year for NYI should be proposed by the outgoing council to the convention, so that the new council has a working budget to begin with, with the possibility of making minor necessary changes once the council takes office.

The district NYI president leads the council in planning the calendar for NYI events and ongoing ministries. As much as is possible, this calendar should be composed and distributed to local churches near the beginning of the church year. Major dates (such as camps, retreats, and revivals) can be finalized, and other dates can be set tentatively, realizing the possibility of minor changes. Dates of Northwest Region, USA Canada Region and he World NYI events should be included.

The district NYI president coordinates and encourages the development of NYI ministry at the local level. They should create avenues of equipping local NYI leaders, through seminars and field training.

The district NYI president is ultimately responsible for the programs and ministries of the district NYI, through the work of the district council. He should never try to do all the programs themselves, or exhibit a lack of trust in the work of council members by breaking in unnecessarily. Rather he should encourage council program leaders to carry out their responsibilities creatively and thoroughly, and touch base with them while that work is going on. When something does go wrong or is left undone, the president should be prepared to take responsibility. "The buck stops here!"

The district NYI president reports the work of the District NYI Council to the district superintendent, the District Advisory Board, and the District Assembly. He should use every opportunity to promote the work of NYI - at the preachers and spouse retreat, at district events, to the NMI council and convention, etc. He should have a good working relationship with the district superintendent, the chairman of the District Sunday School Ministries Board, and the camps board chairman, while communicating with them regularly, especially concerning any new programs or problems.

*Note: For the sake of space, we will use the generic "his" or "he" to denote the NYI President and other officers, in full recognition that those of the female gender can do equally well in each of these roles!

District NYI Convention:

The district NYI president plans for and presides at the District NYI Convention the year following his election, and every succeeding year until they leave office. It is important that the prior to his first convention he communicate closely with the past president, to cover any unseen details of the event. He should begin planning the convention (in cooperation with the district council) at least six months before it occurs.

The district NYI president sets the agenda of the convention. He should be careful to plan for more than just the business process, the reports, and the ballots. He must plan for times of inspiration, fellowship, equipping, teaching, and motivation. The district convention sets the tone for the year ahead in NYI, and many churches will determine their involvement in district NYI by the way they are drawn into the convention. Therefore, the convention must involve all facets of NYI ministry, not just the business aspect. It should also include significant involvement by those who are 12-23, in music, prayer, prepared testimonies, interviews, and scripture reading, as well as the involvement of adult leaders. It should spotlight both the district and local programs, and promote regional and general programs.

The district NYI president arranges for the necessary nominating committees and, working with the secretary, prepares ballots for convention elections. He should contact prior to the convention each person who has been nominated to see if they are willing to serve, being prepared to call for further nominating processes should the ballot be vacated.

The district NYI president plans the business agenda of the convention. He should be well versed in the NYI and in parliamentary procedure, to keep the convention flowing smoothly.

The district president communicates with the district superintendent concerning the dates of the convention, the agenda, and any other details for their input and approval.

Relationships With Other District Leaders:

The district president serves as a member of the district camps board. Giving input at camps board meetings, assists in the appointing of camp directors, along with the organization and communication of directorship, programming and promotion on NYI camps.

The district NYI president works closely with the district superintendent in carrying out the ministry of NYI. The superintendent should be informed of every NYI function, and his attendance at the major events should be encouraged. The superintendent may communicate special needs or projects as he sees them for the district NYI to the president. The vision should be a shared one for the impact of district NYI.

As head of the Department, the district NYI president serves on the District Advisory Committee and as an ex officio member of the District Assembly.

The district NYI president assists the secretary with information and layout of the NYI segment of the district newsletter. This can and should be supplemented by regular mailings or a newsletter specifically to the local churches.

Regional and General NYI Responsibilities:

The district NYI president acts as a liaison between the district NYI and the regional representative to the General NYI Council from his region. He provides input from the district to the regional representative, who then uses that input to represent the districts on his region. Many of the general NYI programs also come through the regional NYI representative to the district NYI president. He also communicates these general NYI items to the local church presidents.

The district NYI president serves as a member of the Northwest Region USA NYI Council. The General NYI Council authorizes the regional representative to organize and chair the regional council. The district president coordinates the involvement of his district with the other districts on the region through the regional council, including any contribution by the district to the regional treasury, participation in regional events, and communication to the local churches concerning the activities of the regional NYI. He reports the dates of the major activities of his district (convention, camps, etc.) for any necessary coordination to the regional representative on shared projects, like projects/offerings.

The district NYI president provides leadership and communication between the general NYI Ministries office each year concerning the elected district council, and of any replacements during the year. This is especially important in those areas where specific product promotion is involved - camp directors, quiz directors, etc. He contacts both the general NYI Ministries office and the regional representative when there is a change in the office of president. He reports the date and location of the district NYI convention to, and orders the convention packets from the general NYI Ministries office.

The district NYI president serves as the district coordinator (or establishes a coordinator) of all general program events, such as Nazarene Youth Congress, General NYI Convention, and general college/career events. The president should plan to attend "district president" (DLC) meetings on an annual basis.

JOB DESCRIPTION - VICE-PRESIDENT

The responsibilities of the vice president are:

To serve as a member of the Executive Committee.

To serve in cooperation with the NYI president.

To serve as NYI president in case of vacancy until the new president is duly elected.

To perform the duties of NYI president in his absence (at council meetings, etc.).

To coordinate the mission areas NYI ministry, working with mission area presidents/chairmen in planning and implementing an active mission area program.

JOB DESCRIPTION - NYI SECRETARY

The responsibilities of the secretary are:

To serve as a member of the Executive Committee.

To keep accurate records of all council meetings and the District NYI Convention, and provide copies to the district superintendent, district NYI president, district secretary, district council, and camps board chairman within two weeks after the meeting, so that this record may help with the implementation of council action.

To provide pertinent information to the NYI Ministries office at Nazarene Headquarters, and to the regional NYI representative/regional office.

To prepare materials (delegate packets, etc.) and equipment (computer, copy machine, etc.) for the district convention as well as assisting the president for convention.

To perform specific duties as designated by the NYI President (ie: event promotion, reminder cards, etc.).

To inform members of excessive absences, and to inform the district, regional, and general offices concerning changes of council members.

To assist the district president in regular mailings to local churches, as well as general council correspondence.

To prepare the publicity materials for the Intermountain Team Newsletter with the assistance of the District NYI President.

To maintain files that can be passed on to successors.

JOB DESCRIPTION - DISTRICT NYI TREASURER

The responsibilities of the treasurer are:

To serve as a member of the Executive Committee

To supervise all funds of the district NYI and report such to the council at each meeting, and to the convention.

To perform specific duties as designated by the council and district president (ie: deposits, visa receipts, reimbursements, etc.).

To serve on the finance committee.

To refer the books of the district NYI to a designated auditor at year's end.

To direct and report the final details of NYI projects/offerings.

To work with the president and the Executive Committee to prepare a budget in written form submittal to the district finance committee.

JOB DESCRIPTION -
AGE DIVISION COORDINATORS  (Early Youth, Senior Youth, College/Career)

The responsibilities of the age division representatives are:

To attend council meetings faithfully and assist in the total planning of the council through input from their age division.

To work with their age division directors to plan ministry efforts.

To serve as a liaison back to local youth in their age division, supporting the district activities through attendance, communication, and promotion.

To be an example to youth across the district.

To be available to assist and give input to appropriate age group camp directors.

To remain faithful & support local NYI ministries and programs.

JOB DESCRIPTION -  MISSION AREA PRESIDENT

The responsibilities of the Mission Area President are:

To plan, direct and publicize mission area functions (mission area NYI rallies, fellowship activities, workshops, etc.) while promoting the total interests of NYI on their assigned mission area.

To organize a Mission Area NYI Council of all local presidents, and have at least two meetings each year.

To attend district council meetings and assist in the total planning of the council.

To serve as a communications and promotion link from the district council to the local presidents on their mission area.

The mission area NYI president shall promote the general NYI missions offering focus to the local churches on their mission area.

The mission area president shall submit a written report to the district NYI Convention responding to the past year's activities. This must be submitted to the district president four weeks prior to convention.

Keep district NYI secretary updated on contact list for their mission area (ie: changes in lay & professionally paid youth workers, local NYI presidents)

JOB DESCRIPTION - MAIN EVENT COORDINATOR

The responsibilities of the Main Event Coordinator are:

Serve on the district NYI executive committee

Will appoint an athletic and talent director for the District Main Event. To be approved by the district NYI president.

Be the overall director of the District Main Event working closely with the Talent and Athletic coordinator in:

· Set budget for event

· Develop and send out the promotion of the District Main Event

· Secure talent judges and athletic referees

· Assist with the setting of the brackets for athletics

· Secure awards for the District Main Event (traveling trophies)

Secure location for the District Main Event at least one year in advance

Be the registrar for the Regional Main Event

· Collect names from coordinators of students going on to the Regional Event

· Register the students on-line within 2 weeks of the District Main Event

                    Athletics:

Provide organization and competition for District Main Event in accordance with "District Athletic Directors Packet".

Attend council meetings and assist in overall planning of council.

Report all results of Main Event participation to district NYI treasurer and vice-president, as well as to regional Main Event director.

                           Talent:

Provide organization and competition in preparation for the District Main Event in accordance with "District Talent Directors Packet".

Attend council meetings and assist in overall planning of council.

                            Report all results of the District Main Event participation to the district NYI treasurer and vice-president as well as to regional talent director.

JOB DESCRIPTION - BIBLE QUIZZING DIRECTOR

Organize a core committee.

Plan, direct, and publicize district Bible quiz events and ministries, including monthly quiz meet locations and dates.

Provide assistance to local churches in establishing a local quiz ministry.

Provide reasonable awards for month to month quizzes and the Main Event quiz

Provide organization and competition in preparation for the Regional Main Event at NNU.

Attend council meetings and assist in overall planning of council.

Keep district NYI president informed of actions and decisions of quiz council.

DISTRICT NYC DIRECTOR

The NYC director shall be appointed by the District NYI president with approval from the executive NYI Council

The NYC director shall be appointed at least two (2) years before the NYC Event

The NYC director is to appoint an NYC committee to assist in budgeting and planning for the event. This committee is to be approved by the NYI executive council

                           The District NYI President will work closely with the NYC Director.
